BookTrakker Bulk Upload Instructions

  1. Create a hit list of books to export [Example: All books with "Smith" in author field.].
    1. Click on the 'Hit Lists' Side Tab.
    2. Click on the 'New' button.
    3. Click on the drop down arrow in the 'Search Field' box and choose the field to select your records. [In the example above, choose "Author"].
    4. Insert your cursor into the 'Search Criteria' box and type in your search criterion for the field you selected [example: "Smith"].
    5. Insert your cursor into the 'Search Type' box and choose "Any Part of Field".
    6. If you want to use additional criteria to create your Hit List, use the 'And/Or' box and repeat steps a thru f.
    7. Click on the 'Execute' button. The Hit List will Process and the screen will switch to the 'List View' (unless there are no matching records).
  2. Review the List to be sure it includes the records you want to export.
  3. Activate the Hit List and Switch the Status of the Hit List Records to "Auction" (If you are creating a list to upload to the Fine Book Mart, you can leave the status at "Available", but you must complete the steps below in either case).
    1. Click on the 'Hit Lists' Side Tab again.
    2. Click on the 'Action' Top Tab.
    3. Select the 'Status' bullet from the 'Action' box.
    4. Click on the drop down arrow in the 'To' field and change the status to "Auction" (or leave it as "Available" if you are uploading to the Fine Book Mart).
    5. Click on the 'Execute' button. The Hit List will Process again and a confirmation box will ask you "Are You Sure You Want to Run This Query? It Will Change x Records."
    6. Click on the 'Yes' button (you can always reset the 'Auction' status to 'Available' at anytime by repeating this process). The Hit List will Process and the screen will switch back to the 'List View'.
  4. Export your records to a .txt file.
    1. From the top menu bar, choose File>Export>UIEE/Online.
    2. Click on the Map Setup button.
    3. From the 'Export Setup' options box, make sure the following options are chosen (field mapping will not be effective if other options are used).
      • Edition Format: 1st
      • Printing Format: 1st
      • Condition Format: VG
      • Field Char: ;
    4. Choose a price option for your starting bid (optional).
    5. Select a file name and path and store your exported Hit List file on your computer.
      1. Click on the folder icon to the right of the top 'Online File Name and Path:' field.
      2. Navigate to the folder where you want to store your file.
      3. Name your file by changing the value in the 'File Name' box (leave the 'Files of type:' value as "Export {*.txt}).
      4. Click the 'Open' button (you will return to the 'Export Setup' options box.
      5. Close the 'Export Setup' options box by clicking on the 'X' in the upper right corner (You will return to the 'Export' options box).
      6. Click on the 'Start' button (You will return to the 'Export Record' options box where your first record will be displayed).
      7. Click on the 'Finish' button. (The records will process and you will return to the 'Export' options box).
      8. Click on the 'Close' button. (Your export file has been created and stored).
  5. From the CBM Bulk Upload page, choose the BookTrakkerTXT option from the Choose File Format drop-down box.
  6. Use the Browse button to find the file on your computer, select it and then click the Import button..
  7. From the global information page, set your global field choices and enter your seller information.
    Note: All of the information entered on the this page will be assigned to EVERY record that is successfully imported in this batch.
  8. Review the charges for the successfully processed records.
  9. Accept the charges to move the uploaded records to your My Auctions Bulk Upload Staging area.
  10. Review and Edit your records (Optional, but recommended.  This is where you can upload up to 6 free images).
  11. Post your records to the site individually or in bulk.
